— Bachelor's degree business or related discipline from a regionally accredited university or college
— At least eight (8) years of experience in administration and contract management (preferably within a "preferred source" or other procurement program).
— Prior experience in the management of teams and/or direct reports.
— Experience in administration and/or operations including human resources, facilities management and accounting.
— Adaptable to changing business conditions, the incumbent will help the Executive Director and Leadership Team manage strategic planning, annual business planning, selected initiatives, and other strategic business issues.
— Coordinate and manage fulfillment of tasks and other expectations in the NYS OCFS/NYSCB Letter of Designation (LOD)
— Direct and manage the generation of quarterly labor and sales reports for the ESERB Board, NYSCB, and affiliated non-profit agencies
— Coordinate the preparation of presentations
— Keeper of Board adopted policies and related Standard Operating Procedures (SOPs)
— Supervise Accounts Receivables/Payable team members, including tracking aging on collections, investigating and resolving invoice, shipping and pricing discrepancies.
— Work with Health and Wellness Committee on events including health fair and employee events.
— Human Resources - HR main point of contact for the Albany office with support from HQ in Alexandria, VA.
— Responsible for first line of questions for topics such as the Employee Handbook and Policies including time and attendance, office closures, staff training and employee development initiatives.
— Facilities Management - Responsible for oversight of facilities administration and recommending changes as necessary including facility contract negotiations and resolving site problems.
— Would be the primary local contact for facility problems, employee parking including monthly payments and reimbursements, with support from NIB HQ in Alexandria, VA.
— Office Services - Responsible for administering office services policies and procedures, including the Emergency Management Plan for the Albany office, access control, security, and parking administration. Recommends changes as necessary. Coordinating with NIB HQ staff.
— Main point of contact with HQ Continuous Process Improvement (CPI) project manager.
— Main point of contact for NPA Finance and Operations Managers as necessary.
— ISO and Lean Six Sigma management administration.
— Create agenda for weekly NYSPSP staff meetings as well as other internal cross-departmental meetings as needed, such as IT project meetings and CPI.
— Prepare and maintain documents for, and participate in, any OCFS/NYSCB or other audits.

— Coordinate logistics for annual "Agency Days" to include meeting with an agency to go over plans/issues/opportunities for sales, business development and customer care
— Working with the Program Director, Compliance and Regulatory Affairs to complete quarterly requirements Reporting NYS quarterly requirements, LOD tasks, and/or other ad hoc government requests.
